What this generator fills in

You type your name, your job title, your manager's name and the company, then pick your last working day from the calendar. The letter on the right rewrites itself while you type. Leave a field empty and it prints a placeholder in that spot, like [Your Name], so you can print it and fill the gaps by hand.

Today's date goes at the top. Your last working day goes into the sentence that says when you leave. One switch adds a paragraph offering to train your replacement and document your projects, and it is on by default. Turn it off if you would rather not promise that.

How much notice to give

Two weeks is the usual notice in the United States and it is what most managers expect. Read your contract and the employee handbook before you pick a date, because either one can ask for more. Senior roles and jobs outside the US often run longer.

Pick a date and the badge next to the calendar tells you what that date means: 2 Weeks Notice, 1 Month Notice, 3 Months Notice. Anything under a week shows the number of days in red, so you see it is short notice before you send it. A date that has already passed shows as Past date, which usually means you picked the wrong year.

Which tone to pick

  • Standard. Neutral. It states the resignation, gives your reason, names your last day, and says you will wrap up your work before you go. Pick this one unless you have a reason not to.
  • Gratitude. The same letter with thanks added for the mentorship and support, and a warmer sign-off that names the company. Use it when you mean it.
  • Formal. The shortest of the three. Notification, reason, last day, one line of thanks. Nothing warm in it. Use it when you only need the record.

The reason dropdown swaps a single sentence: new opportunity, personal reasons, career growth, or relocation. None of the four names your next employer and none of them criticize anyone.

Keep the letter short

A resignation letter is a record, not a goodbye speech. Say that you are resigning, name your last day, offer to help with the handover. That is the whole job. Everything else belongs in the conversation with your manager, and that conversation comes first. Tell them in person or on a call, then send the letter the same day.

Keep complaints out of it. HR files this letter and people who were not there read it years later. If you are angry at the place, pick the Formal tone, let it say the bare minimum, and stop there.

Common questions

Does my letter get sent anywhere?

No. The letter is built in your browser while you type. Nothing is posted to a server, there is no account and no sign in, and nothing is saved, so closing the tab clears what you typed.

What happens if I leave a field blank?

The letter prints a placeholder in that spot, like [Your Name] or [Company Name]. You can download it that way and write the missing parts in by hand.

Should I say why I am leaving?

One sentence is enough. The four reasons here each write that sentence for you, and none of them name your next employer. If you would rather say nothing, pick Personal Reasons.

Can I edit the letter after I download it?

Yes. The Word download is an RTF file, so you can open it and change any line before you send it. The PDF is meant to go out as it is, so fix the wording on this page first.
